Privacy policy

What this website collects about you, where it goes, and what you can ask us to do with it.

Who we are

This website is run by 1 Mill Street, company number 11140823, registered office 1 Mill Street, Leamington Spa, Warwickshire, CV31 1ES. We decide how the personal data collected through this website is used, which makes us the data controller.

For anything about your data, email hello@1millstreet.com or write to us at the address above.

What we collect through this website

We only collect what you type into our forms:

  • Tour bookings, contact, membership, event hire and room enquiries: your name, email address, phone number, company name (optional) and your message. Some forms also ask for the membership, room, event type, rough date or number of guests you're interested in.
  • Make Good Grow Draw sign-up (on our Make Good Grow page): your email address. We add it to our mailing list (Mailchimp) marked as a draw sign-up, and only use it to tell you about the draw, such as when tickets go on sale. It is not added to the newsletter. You can unsubscribe at any time.
  • Newsletter sign-up: your email address. Enquiry forms also have a "Subscribe me to the newsletter" box, ticked to start with; if you leave it ticked, we add your name and email address to the newsletter list.
  • Event tickets bought on our site: your name, email address, phone number (if you give it), the event, date, number of tickets and what you paid. Payment is taken by Stripe; we never see your card details. The ticket form has the same "Subscribe me to the newsletter" box.
  • Live chat: anything you type into the chat window, plus your name and email address if you give them.

When you send a form or buy a ticket we also record the date and time, the page you sent it from, and how you reached our site (for example a Google search, another website or one of our ads, including the ad's campaign name and click ID if there was one). This tells us which of our marketing works.

What happens to it

  • Your enquiry is saved in our enquiries database (Airtable), where the right person at 1 Mill Street picks it up: for example, tours and memberships go to our General Manager and event enquiries to our events team.
  • Chat conversations are handled by Tidio, our live chat provider, so our team can read and reply to them.
  • Newsletter sign-ups, and enquiries that leave the newsletter box ticked, are added to our mailing list (Mailchimp).
  • Your IP address is used briefly to limit how many forms can be sent from one address in an hour. It isn't stored with your enquiry.

We use your details to reply to you and deal with your enquiry or booking. If you sign up to the newsletter, we use your email address to send it to you. You can unsubscribe at any time using the link in every newsletter, or by emailing us.

Our legal basis is our legitimate interest in answering enquiries you send us, or taking steps at your request before entering into a contract (such as a membership or event booking). For the newsletter, it's your consent when you sign up to it. If you leave the newsletter box ticked on an enquiry form, we rely on the "soft opt-in" rule, which lets us email people who have asked about our services about similar things. You can opt out at that point by unticking the box, or later through the unsubscribe link in every newsletter.

How long we keep it

We keep enquiries only for as long as we need them to deal with your enquiry and any booking or membership that follows. We keep newsletter sign-ups until you unsubscribe. You can ask us to delete your details at any time by emailing us.

Who we share it with

We don't sell your data. It is only seen by the 1 Mill Street team and the companies that provide the services we use to run the website and handle enquiries: Vercel (website hosting), Airtable (enquiries database), Tidio (live chat), Mailchimp (newsletter) and Stripe (ticket payments), plus Google and Meta if you accept cookies (see below). Some of these may store data outside the UK, under safeguards approved for UK data protection law. We may share it if the law requires us to.

Cookies and tracking

The first time you visit, we ask whether we can use cookies for analytics and advertising. If you say no, we don't set any (apart from the live chat, below). You can change your mind at any time with "Cookie settings" at the bottom of every page.

If you accept, we use:

  • Google Analytics (loaded through Google Tag Manager) to count visits and see which pages people use and how they found us.
  • Google Ads and the Meta pixel (Facebook and Instagram) to see which of our ads lead to an enquiry, a booking or a ticket sale, and to show our ads to people who have visited the site. When you send a form or buy a ticket, we may also send Google and Meta a scrambled (hashed) copy of your email address and phone number, so they can match it to an ad you saw. They can't read it, and only use it for that match.

If you say no, Google may still receive basic signals without cookies (for example, that a page was viewed), which don't identify you.

We also keep a note in your browser of how you reached our site (see above), so it can be sent with your enquiry. Without your permission it's forgotten when you close the tab; with it, it's kept for up to 90 days.

The live chat window is provided by Tidio. It loads from Tidio's servers and stores a small identifier in your browser (cookies and local storage), so that a conversation carries on as you move between pages and when you come back. Tidio also receives your IP address and basic browser details when the chat loads. See Tidio's privacy policy.

Other websites we link to

Some buttons take you to other services, which have their own privacy policies:

  • OfficeRnD runs membership checkout, the member login and live booking calendars for our meeting rooms and Content Studio. Anything you enter there is handled by OfficeRnD on our behalf.
  • Google Maps (directions), Instagram, LinkedIn, the Forrest Coffee House website and event ticketing sites only receive your information if you click through to them.

Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it or delete it, object to how we use it, or withdraw your consent to the newsletter. Email hello@1millstreet.com and we'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Changes to this policy

If we change how the website handles your data, we'll update this page and the date at the top.
